Build a PivotTable You Can Reconcile to the Source

Prepare a tiny source table

Create Category and Amount headers, then enter Books 10, Travel 20, and Books 15 on separate rows. Keep one header row, consistent values, and no decorative merged cells inside the data. Preserve the source before cleaning or deduplicating it.

Choose the summary explicitly

Insert a PivotTable from the selected data. Place Category in Rows and Amount in Values. For a sum, the expected results are Books 25, Travel 20, and a grand total of 45. If the result is a count, inspect the aggregation setting and whether amounts are stored as text.

Add a row and check refresh

Add another sample row and confirm whether the source range includes it. Refresh the PivotTable and compare its total with an independent sum of the intended source. Refreshing cannot include a row that lies outside the configured source.

Create a chart after checking the numbers

Choose a chart that communicates the comparison, add clear labels, and inspect filters. A visually polished chart can still omit categories or show an unintended calculation. Excel and Google Sheets have different menus and shortcut sequences; use the current app's controls rather than assuming a Windows Ribbon sequence applies everywhere.
